The Conference Control Application
Learn more about how you can control a conference call hosted on a GVC camera using the Conference Control application of your GAC conference phone.

Using the Conference Control Application
When a GVC camera is connected to your GAC conference phone, you will be able to use the Conference Control application of the conference phone to manage conference calls while controlling the camera for video calls and presentations.

To view and use the Conference Control application, swipe left on the conference phone's display and tap the Conference Control app.
Connect a GVC Camera to a GAC Phone
To allow the conference control app to be ready for use, the GAC2570 phone and the GVC32XX camera need to be connected. This can be done by connecting an ethernet cable from the Media (M) port of the GAC2570 phone to the Media (M) port of the GVC32XX camera.

✔ Once the devices are connected, the conference phone's display will show that the GVC device is connected.
Note: When the Conference Control app of the conference phone is open with a GVC camera connected, the conference phone will automatically enable DND mode so that the conference phone will not receive calls while you are preparing and hosting a conference call.
DND mode cannot be disabled while the Conference Control app is open.
To start receiving calls again, you will need to exit the Conference Control app by pressing the Exit button.
Schedule Conferences
To make hosting conferences easier, you can schedule conference calls ahead of time using the Conference Control app. You can also view any conference calls that have been scheduled so far using this app.
To view all scheduled conferences, tap the Recent meetings box.
You should now see a list of conference calls that have been scheduled so far.
To schedule more meetings…
- Tap the Add Conference icon.
- In the Meeting Details menu, input the following:
- Theme - Select a subject or purpose for the meeting.

Start Time - Select the starting and ending times of the meeting.

Duration - Select how long the meeting should last.

Preset Bit - Preset how your different cameras should display during the conference.

Repeat - If this meeting will be recurring on a regular basis, select how often the meeting will recur.

Password - To have participants enter a password to join, set a series of numbers they should enter.
- Members - Select people or contacts that should be invited to the meeting.
- Be sure to save the conference. It should now be listed along with any other scheduled conference calls.
Start a Conference Call
To start an impromptu conference call with the Conference Control app, you can do the following:
- Press the Call button on the main Meeting Control screen.
- On the Dial screen, enter the phone number or extension number of a person to invite to the meeting.
- Enter the phone numbers or extension numbers of more people to add to the call.
- Press either of the following buttons to start the call:

Start Audio Call
- Initiate a conference call that uses only audio.

Start Video Call
- Initiate a conference call that uses both audio and video.

Host a Conference Call
When you start a conference call, you will see a screen for managing the conference call. This screen will show the participants that have been invited to the call so far. There will be buttons on the bottom of the screen that can be used for managing the call as a host.
Manage Participants
When you tap a participant in the Conference Control app, you will have options to use to manage that person's participation in the conference call.
- Mute: Mute this participant’s microphone. Muting a participant can be helpful if they are contributing to unnecessary background noise during a presentation.
- Unvoice: If needed, completely block a participant’s audio until you select to unblock their audio.
- Switch Audio: Switch the call from a video call to an audio call.
- Switch Video: Switch the call from an audio call to a video call.
- Close Screen: If this participant is sharing their screen, use this option to remotely end their screensharing.
- Remove: Kick or remove a participant from the meeting.
Add More Participants
You can invite more participants to an active conference call.
- Tap the Add
icon.
- On the dialing screen, dial or select the person to add to the conference call.
Note: If the person you dialed is available, their panel will show a “Calling” note.
If the person is not available, their panel will show with an “Invitation failure” note.
- Repeat this process for each additional participant you need to invite.
Remove a Participant
When a participant is longer needed in the conference call, you can remove them. To do so…

Tap the participant that needs to be removed.
- Select Remove.
Manage a Conference
When you tap the Menu icon, a Menu with a variety of features for managing the conference call will appear.
These features include…
Feature | Description |
---|---|
Mute | To mute your microphone during the call, tap the Mute option. When you are ready to speak again, tap Unmute. |
Turn Off Camera | If you need to step away, tap Turn Off Camera to turn off the GVC32XX video camera remotely. |
Meeting Control | Control the participation of the call's participants by controlling their audio input/output, muting them, and controlling when participants can share their video. |
Video | To record the video of the conference call, tap Video to capture video being shared. If you are only recording a snippet of the video, tap Video again to stop recording. |
Recording | To record just the audio of the conference call, tap the Recording option to start recording audio. If you are recording a snippet, tap Recording again to stop recording. |
Hold | To place the whole conference call on hold, tap the Hold option. Once the conference is ready to be resumed, tap Unhold. |
DND | Once the conference call had started, you can tap DND to prevent people from sending meeting join requests. |
Keypad | If you need to interact with a menu or dial a code, tap Keypad to pull up a dial pad. |
PIN Code | To secure the meeting, tap PIN Code to set a PIN that participants would need to provide to be allowed to join the call. |
Call Details |
Provides comprehensive information regarding the video and audio quality of the call. This menu includes various metrics such as packet loss rate, video frame rate, resolution, and speech coding for each user. |
Change the Video Layout of the Call
During the call, you may need to change how the participants and their video is displayed. This can be essential if a participant is about to share a presentation. To swap layouts…
- Tap the Layout
icon.
- In the Switch Layout menu, select the screen layout you would like to use.
Presentation Mode
In many meetings and conferences, presentations are commonly used to keep team members and clients informed about past changes, exciting updates, and recent performance strengths and weaknesses. Using the Conference Control application, you can use your GAC2570 conference phone to share a presentation for all conference participants to see.

Make sure a PC is connected to the GAC2570 phone or the GVC3220 video camera using one of the methods below:
- PC is connected to the GAC2570 phone's HDMI IN port using an HDMI cable.
- PC is connected to the GVC3220 camera's HDMI IN port using an HDMI cable.
- PC is connected to the GAC2570 phone or GVC3220 camera using Wi-Fi.
- Tap the Start icon.
- In the Presentation Source menu, select how the presentation will be shared from the connected PC.
These sources include…- HDMI - Source is a device connected through HDMI directly to the GVC3220 device
- Wi-Fi Display - Source is a projection screen using “Wi-Fi Display” or “Airplay”.
- Shared Screen - Source is a shared screen from the GVC3220.
- GAC2570-HDMI - Source is a device connected by HDMI to the GAC2570.
- Once you are done presenting, tap Stop to end presentation mode.
Camera Control
The GAC2570's Conference Control application will allow you to control the camera angles of a GVC3220 camera by acting as a remote camera controller. This is done with the Camera Control tool, which allows you to pan, tilt, or zoom the camera.
To use the Camera Control tool, tap the Camera button on the main Meeting Control screen.
Tapping the Camera button will open a Camera Adjustment menu that will offer you controls for adjusting the camera of the GVC3220. You can move the camera left, right, up, and down, as well as zoom in and out as needed. You can also use the Manual Focus (MF+, MF-) or Assisted Focus (AF) features.
Mouse Control
The GAC2570 can act as a remote control for the GVC's mouse feature. To explore the Mouse Control feature further, tap the Mouse Control button on the main Meeting Control screen.
On the Touch Control screen, you can try out and explore different touch controls you can use to control the GVC camera's mouse function.
