Grandstream Hot Desking Guide
Learn more about hot desking and how you can use this feature to log into and out of a desk phone.
Table of Contents
Hot desking is a feature that allows for multiple office workers on different shifts to use a single physical workstation or surface as opposed to each staff member having their own personal desk. Grandstream phones are able to have this hot desking ability via its Public Mode feature. This will allow users on an account to log in and out phones and have their User Extension follow them from device to device.
Some examples of work environments that may use hot desking include:
-
Call Centers
- For agents who work on a flexible schedule. They can share a hot desk phone at different time periods while making and receiving calls on their own extensions.
-
Shared Offices
- For employees who work flexibly anywhere, such as Sales. They can use the hot desk phone in the meeting room and make calls to their customers by their own extensions, without physically migrating their own phones or re-registering their own extensions.
-
Multiple Locations
- For accounts with multiple locations where employees often spend the day at different locations depending on staffing needs. Employees are able to take their extension with them so they can be available at whichever location they are at for that day.
Use the Hot Desk Feature

Quick Tip: To make inputting this information easier, users can press the 1Bc button until it shows 123 so that it only types out numbers.
- Username - Their subscriber name (i.e., their extension number).
- Password - Their authentication key.
- Press the Login softkey.
-
Use the phone as needed to handle calls.
✔ The user will now be logged in to the device. Their extension number will be shown on the screen, along with other buttons, such as the Park buttons.
Log Out of a Phone
When an agent is ready to manually log out of the phone, they would do the following:
- Press the OK button to go to the phone's Menu.
- Press the Right button 3 times to get to the Menu's second page.
- Select Logout on the second page.

Note: Doing this will clear out the previous User’s Account Registration and allow for a different user to log in to the device.
If the phones are set to automatically log out after a set amount of time, agents can leave the phone idle for that amount of time.
NOTE: It is recommended for any hot desk user to always log out of devices they are not using to prevent issues with ringing.
Users can be logged in to multiple devices at once. Signing in to one device will not sign users out of their previous device. This can lead to calls not ringing on intended devices.
Logging out of a device without logging back in will remove the line keys from the phone. The lines will re-appear when a user logs in.
